Philp Brodie Grains’ (PBG) policy on privacy is to comply with the Federal Governments Privacy Act 1998, including the National Privacy Principles to ensure all personal supplied information is collected, handled, stored and used for its intended purpose in accordance with the legislation.

PBG collects personal information from clients fairly, lawfully and unobtrusively to administer company dealing in areas of sales, marketing, credit worthiness, service and product support. Information collected provides our clients with the level of service and product to which they would aspire. Evaluation of credit worthiness helps to determine the level of credit to be extended.

Client personal information will not be disclosed to a third party without express consent unless it is

  • To provide information to a government department required by law.
  • To a financial institution to assess credit worthiness.

  • To related companies who are providing credit for evaluation on payment history, credit limit and terms.

  • Other suppliers who provide services to our companies to assess clients' ability to meet credit limit liabilities and obligations.

The aim of this procedure is to set down guidelines on how personal information under this legislation is collected, used, held, secured and disclosed by the company.

The Directors and Administration Manager ensure all supplied personal information is handled in accordance with the principles of the privacy legislation concerning the protection of client information.

Clients Personal information
We recognise the supply of personal information is very important to us and that clients have a right to ensure information provided is controlled in a safe and secure way. We acknowledge that clients who provide personal information do so as an act of trust and we take this matter seriously. If clients choose not to provide all personal information, we may not be able to provide our customer service and credit facility thereby reducing our level of service, which we strive to achieve.

Personal information is information or an opinion that can identify a person

What is Sensitive Information?
Sensitive information is information about a person's racial, ethic origin, political options, membership, religious beliefs, sexual preference, criminal record or health information.

PROCESS:

1. Types of personal Information Held.
Information held may relate to but not limited to, client personal and contact details, anticipated monthly purchase requirements, bank details, assets and referees etc.

2. Methods of Collecting Personal Information.
PBG collects information in a number of ways, either through a credit application document, over a fax or phone, in person from an individual or from a third party, such as related companies or through credit reporting agencies, customer surveys and promotional information, online interacting through the company web site and loyalty programs.

3. Using Personal Information
PBG may use your information to seek from credit provider's relevant information for the purpose of obtaining from credit reporting agencies credit reports, information about a person's credit arrangement. This information includes details about their credit worthiness, credit standing, credit history and their credit capacity in meeting their obligation. Personal information is also used for billing and collecting debts, research to improve our products and help establish product performance in trial applications.

We may also use your personal information to forward client newsletters, product opportunities, discounts and other benefits available through the company. Clients wishing to be omitted from such distribution list would need to advise our staff accordingly.

4. Preserving Personal Information

PBG endeavours to take all reasonable steps to keep secure any information held about an individual, and to keep information accurate and up to date. Personal information is stored on a client database computer server protected in a controlled work environment. Employees and contractor who work on information systems are obligated to respect confidentially of any personal information. In addition hard copy documentation (e.g. credit applications) are held in a storage filing system in a controlled facility.

Clients are entitled to seek details of their personal information and to request that information be changed or deleted if no longer relevant.

PBG has taken all reasonable steps to ensure personal information collected is current and accurate to be used for its intended purpose for credit approval, billing and product development promotion.
